    3. Drag the ‘video’ widget into any part of your email template
    4. Click on the new block within your email, and select the ‘edit’ button
    5. Paste your video link from YouTube and select ‘insert’
  • Image options | We all know that images are one of the best ways to engage our audience. Now you can enjoy additional functionality with images! You can utilize images to link your reader’s out to important PDF documents or link directly to an email address.

    Here is how it works:
    1. Click on an image within the body of your email
    2. Click on the 'link' button that appears within the popup dialogue box

Document Management with Deltek Project Information Management (PIM)

As a positive result, employees have increased their productivity as they are able to do more with their available time. On the other hand, with the various ways of receiving data now, an enormous amount has been and is currently being collected which has exponentially increased the time required to manage it. Putting an effective document management system in place has become crucial to ensure successful business operations. Employees must understand how and where to store important files and project information to keep business running smoothly.

Now with Deltek Project Information Management (PIM), formally known as Union Square, firms have a powerful tool for document management that integrates with Deltek Vision. Here are some core capabilities that support best practices for document management.

Proper User Access and Permissions

Deltek PIM provides firms the power to assign the proper permissions and restrictions to protect your firm’s data. Documents include everything from your finished products to confidential HR records. Without a comprehensive policy and system in place, everything can be at risk.

Deltek PIM offers a solution to document access restrictions in the form of defined user access and permission controls. Role-based security allows your IT department to create user groups with pre-set access rights. This ensures that entry-level HR employees are in a different access group than the HR manager and have no access to documentation in other departments unless permitted to do so. Here are some security levels that are included:

  • At the department level – All rights (system, group and user) are assigned by department
  • At the systems level – Set global permissions that apply to all groups within a department
  • At the group level – The most efficient way to manage security because you only need to set up security permissions once for multiple users
  • At the user level – Set permissions for individual users
  • At the project level – set permissions separately for each project and document type within the project

Create and Maintain a Consistent Naming Convention

Consistent naming conventions are critical, especially in the Architectural and Engineering Industry. If not followed, having standards in place is useless. Deltek PIM ensures consistent file names by preventing users from creating their own file names independently.

Although pre-defined terminology is a great feature, your company also has the option to customize the naming scheme to suit your conventions and even include date stamps that make chronological file searches possible.

Use the Central Template Library in Deltek PIM

The template library allows firms to maintain a set of company standard templates that are version managed, controlled and accessible by operational staff. This ensures consistent formatting of documents regardless of which staff member creates the document. A key thing to remember when creating a new document is everyone has to have access to those templates to ensure compliance with company standards. Additionally, templates in Deltek PIM automatically include the metadata for the document type and key information with limited access to changing this information.

Keep a Document Audit Trail

With all of the liability concerns, document auditing is a critical feature for all document management systems. The audit trail must be able to account for each version of the file, who created it, and who downloaded the document. In addition, Deltek PIM keeps all deleted documents in a separate location, ensuring no critical data is ever completely lost. Furthermore, based on the requirements of your state and/or areas of work, the audit trail will remain intact for the required term.

Use Proper Version control

Deltek PIM provides a project-wide document numbering system to prevent duplicate document numbers within the same project. It also provides a consistent revision coding system and sequential coding of revisions for the life of the documents. Even more, an automated tracking of who is responsible for each version and who has reviewed it allows for complete insight into the version history of documents.

Eliminate Duplicate Documents

Aside from taking up storage space, duplicate files make searching for what you need significantly more time consuming. Keith Pickavance in his work, Delay & Disruption in Construction Contracts notes “It’s not uncommon for a large project to produce millions of pages of documents, of which only 5,000 are critical.” A system that automatically finds and eliminates duplicate documents becomes more and more important as the project size increases.

With email communication, often there are many copies of the same email. Each copy could be filed by a different staff member into a different location. A system that locates and deletes those duplicates while tagging the primary email with proper metadata for searching can considerably decrease duplications and increase the ease of search-ability.

The core benefit of Deltek PIM is the integration of the project opportunity and project management that creates a link with everything from document management to contacts. The central hub for creating an opportunity is in Deltek Vision, and being able link it to a specific project allows for everything related to the project to be stored and viewed in one location. As someone who travels a fair amount, the Deltek Vision and Concur integration has allowed me to get the most out of my business expenses. Before, I was overly focused on diligently taking a picture of every receipt and documenting every incurred cost. Now, when I am out with a client, I can focus on listening and cultivating our relationship.  Here is how:

No more expense report time dump! Concur’s credit card integration is freakin’ awesome. I’ll admit it, I am terrible at manually documenting receipts and deciphering between my credit card charges vs. cash expenses. Assuming you like your boss, your environment and co-workers, there is still always a task that you just wish you didn’t have to do. For me, it is my expenses. Instead of manually entering your expenses, I can simply take a picture of the receipt and it reads the information and fills out my expenses. Sounds too good to be true, right?

Ready-to-Go Email Marketing Campaigns in a Box

Recently, I was fortunate enough to participate in a lively discussion among up-and-coming marketers regarding the merits of running email marketing campaigns for professional services firms. Although opinions differed greatly on the types of campaigns firms should deploy, one thing we could all agree on:  Email marketing is widely effective. For example, Chief Marketer reports that email marketing shows an impressive ROI of 28.5%.

So, I wanted to share with you some of my favorite email marketing campaigns. These are the types of campaigns any firm can utilize. These campaigns are merely a starting point to get your email marketing creative juices flowing! Next time I check my inbox, I hope to see one of these campaigns coming from your firm.

The Right Email Marketing Campaigns for You

  1. The Newsletter is alive! Believe it or not, the tried and true newsletter is alive and well. Transforming the newsletter from a print to digital format is a natural progression for most firms. In fact, the ability to customize and micro-target specific audiences allows marketers to ensure that they are focusing their messaging on their audience.

    When designing a newsletter, keep in mind:

    1. Subject lines are king. The battle for readership is won and lost in the inbox, don’t let a poorly thought out subject line land your newsletter in the trash.
    2. Create a central theme. Nothing increases your readership-bounce-rate like a disorganized, hard to follow, mailer. Create a central theme to your email blast and stick to it: Your click through rate will thank you!
    3. Make it clear on how to opt out. The number one sin when executing a digital newsletter campaign is trapping your audience in a slow painful death by email. Nothing deteriorates your brand faster than spamming disengaged customers. Give your readers a clear path to exit and your overall mailer will be better off. At the very worst you will know that your messaging needs refining based on an alarming rate of unsubscribes.
  2. Spotlight your latest project. Have you recently completed an impressive project that your clients would like to hear about? Perhaps you can highlight your top projects to a target list of prospects that you would like to do business with in the future. Bolster your brand by taking pride in your projects and demonstrating your expertise to the world. Bonus: Your current clients get additional exposure for their project, a win-win for everyone!

    When spotlighting your next project, keep in mind:

    1. Give your images alt tags! Email clients can be a tricky beast, and you never know what settings your recipient has enabled. You are trying to spotlight a project, and surely you want to show off your beautiful project photography, right?! Giving an image an alt tag will allow alternative text to appear if the image doesn’t load.
    2. Tell your reader a story. It’s not enough that you recently completed a new state of the art project. In order for your message to be memorable you need to focus on engaging your reader. Make your email standout by crafting a relatable story.
    3. Reduce load time, not quality. Optimizing high-quality images for digital viewing is essential. Compressing your images allows you to maintain quality while reducing long email load times.
  3. Planning to attend an event? Let ‘em know! Email is an excellent tool to inform prospects and clients that you will be attending an upcoming event. Invite your contacts to join you to ensure that you get the most out of the event. I always like to say that email blasts are a way for me to start networking at an event, before the event ever starts.

    Before promoting your next event, keep in mind:

    1. Why do they care? Do you really think that the fact that you are attending an event is really enough to entice a client to show? You need to let your audience members know why they can’t miss the event. Make it all about them and you just may be rubbing elbows with them sooner than later.
    2. Make your email actionable. It’s not enough that the client or prospect knows that you will be at the event, make sure to let them know how they can connect with you on-site.
    3. Responsive Design. Fast forward to the day of the event and there’s a good chance that your client will be using their smart phone to refer back to the email you sent them with meetup instructions. Make sure that your email is optimized for mobile viewing.

Unfortunately many of these applications are disconnected which causes us to end up with siloed data. So what’s the big deal? Firms that end up with siloed data spend more time flushing valuable resources (time and money) down the drain than working towards their overall business objectives! Do you really want to spend more time managing your data, than managing your clients?! Stop flushing your resources down the drain by eliminating siloed applications from your organization.

But wait, what exactly is a siloed application? Siloed applications are partitions within organizations that isolate departments, teams and even people. These applications do not communicate or share data with any other system, greatly limiting your ability to leverage the data living inside of these systems.

  1. Take it to the cloud. As we have written about in previous blogs, there are multiple benefits to taking your organization’s data to the cloud. The benefits are clear in strict terms of breaking your data free from restrictive silos. Mainly, once your data lives in a cloud based application or system you are now able to leverage connections to this data from all over the world. Gone are the days of being tied to a desk. Employees are doing more than ever before and they are doing it from all around the world!
  2. Centralize your data storage with a master record set. Creating a master data set will introduce a method to the madness of managing disparate data. Next time you are evaluating a new piece of software or application ask yourself how it fits in with your already established master data set. Is it worth adopting this technology if it only creates additional silos? This is something that you will need to review with all key decision makers and stakeholders.
  3. If you connect it, they will come. Unfortunately we find ourselves living in a world of highly specialized technology. There is a reason the average company has 5.5 applications per employee; in today’s highly competitive market we need access to the tools that can help differentiate us from our competition. Fortunately, integration technologies are becoming widely available.

    Once seen as an option only available for major corporations, application integrations have become common place in both the business and personal world. If you have ever hooked your Instagram account up to your Facebook account – you’ve used an integration. If you’ve ever synced your email accounts to one central mailbox – you’ve used an integration.

    Integrations allow us to get the most out of current investments, while not limiting the technology available to our business teams. In fact, many firms won’t even consider purchasing new software if it does not have integration capability.

5 Elements for Effective Knowledge Sharing

Knowledge Sharing GraphicAs white-collar professionals, our individual skillsets are built upon our cognitive abilities. We spend years adding new skills and competencies to our wheelhouse by absorbing tidbits of information from every facet of our daily lives. Think hard enough and I am sure you can identify personal, professional and communal experiences that have factored in to your eventual expertise. So how do we capture this intellectual information and pass it on to our coworkers? This knowledge sharing conundrum stumps many firms.

The simple fact that you are reading this blog, and have identified the challenges of knowledge sharing within your organization, gives you an advantage over the average professional.

The Contributing Factors for Effective Knowledge Sharing

  1. Expression: Knowledge is power. However, to convey this power to our cohorts, we need to be able to describe the information clearly and accurately.
  2. Awareness: The recipient must be aware that the knowledge is available and be willing to make an active effort to absorb the information and seek clarification where needed.
  3. Availability: The knowledge recipient and the knowledge provider must have availability to work together to clarify and provide further explanation to complex issues.
  4. Direction: The wealth of knowledge being shared was likely gathered over a long productive career. With that said, do not underestimate the importance of transferring this data in clearly defined, differentiated, segments that allow the recipient to comprehend the information accurately and completely. Avoiding information overload will allow this entire process to be less intrusive and run smoother.
  5. Completeness: This knowledge is often complex and multifaceted. In order to convey this knowledge accurately, it is vital to provide a complete and holistic picture. Often the ‘why’ is just as important as the ‘what.’   

Applying Knowledge Sharing Concepts to Your Business

I challenge each reader of this blog to self-examine and ask yourself: is your organization doing everything possible to foster a culture of collaboration and knowledge sharing? If not, why? If so, what impact has this knowledge sharing had on your firm growth? The reality of this question can often be hard to come to terms with.

Social collaboration requires buy-in from the entire organization. Understanding the factors in play here can be as rudimentary as examining the makeup of our organization and understanding the different generational values in play.
