Why Should You Join the CXps Community?

Simply stated, strong client relationships are fundamental for thriving professional services (PS) firms. Therefore, proactively creating a positive client experience (CX) should be at the core of a PS firm’s mission. As simple as this effort may seem, many firms fall short in terms of meeting client expectations which inevitably becomes detrimental to their bottom line. However, there has been an influx in forward looking PS firms that are now dedicating resources to CX.

With this rapid growth and interest in CX for PS firms, the creation of a community dedicated to connecting likeminded individuals and firms has risen. CXps is the only client experience association dedicated to professional services firms. What once began as an annual conference has now evolved into so much more. The CXps community is now a nationwide network that offers monthly virtual meetups, regional in-person events, a rapidly growing library of CX content and so much more.

As a client-focused firm, Full Sail Partners is a dedicated partner of the CXps community with several members of the staff actively participating in the network and others joining this year. Furthermore, the 2021 CXps annual conference was hosted virtually from May 25th to May 27th. During this year’s annual conference, trends and ideas were presented and breakout sessions allowed attendees to collaborate and share their perspectives. Additionally, Ryan Suydam with Client Savvy discussed the evolution of the CXps community and the future outlook of this rapidly growing network of CX professionals. “As a CXps newbie, I learned a lot!”

As a first timer, I have long understood the necessity for firms to ensure a good client experience, however the 2021 CXps virtual conference was the first time I was introduced to the idea of firms actually focusing on the concept of CX in their overall business strategies. During the small group breakout sessions, I was able to discover several things about CX. First, firms appear to always be seeking to increase profits whether they consider themselves to be mission, vision or purpose driven, therefore CX is significant for that reason alone. Next, that employees, no matter what level, need to have a good employee experience (EX) in order to facilitate a good CX. We also learned that a great story about a positive experience goes a long way in CX and encourages both employees and clients to be loyal to the firm. Attending this virtual CXps conference offered me new insight and perspective on the real complexity of CX.

“The CXps conference is one I look forward to every year!”

The Client Savvy team did an excellent job revamping the traditional conference format into a truly virtual experience. In this experience, you worked hands-on with a community of peers to build your CX program together.

One session of the conference took us through making the business case for a CX firm initiative. We were inspired by Ryan Suydam to “win the heads” of our firm leaders to begin a CX program. Then we broke into small groups to discuss the challenges/opportunities of how a managed CX program can create value for our specific firm. We were provided a list of different options that ranged from easier ones like pricing our work to value, not market, and reducing non-value-added project work to more advanced methods like increasing share of wallet with clients and measuring client lifetime value. We were asked to pick one or two ways we can demonstrate the value that a managed CX program could provide.

During another session, we were challenged to “win the hearts” by using stories. Our firms have dozens of stories like the one great story of how a client was won or kept through extraordinary conditions. Andrea Mac from Prequal, LLC showed us how CX stories can optimize the value of client experience initiatives among colleagues and leaders. Again, we broke into peer groups to begin developing our story element library and how to use them.

The best thing about the CXps virtual experience was that it took somewhat nebulous ideas of client experience and put a framework and system around it. And, when you can do that, it helps A&E firms develop and grow a proactive and thoughtful client experience program at their firms.

I’ve been participating in the CXps community for over a year after joining the 2020 annual conference. My first conference and the 2021 conference were both outstanding with great presenters. Whether it was your first time being exposed to CX concepts, or if you are a seasoned CX veteran, the conference has an incredible depth of knowledge for all experience levels.

Additionally, as a member of the CXps community, you are able to access the knowledge base that the Client Savvy team continues to grow and fill with reliable informational resources and contributions from members of the community. I personally contributed last year by creating a video, “How Marketers Can Use Client Feedback” for the Knowledge Sharing Modules (KSM) which Client Savvy releases on a monthly basis. Common Blunders Made by Marketing Teams

What were they thinking? #SendNoods was a social media marketing campaign launched by Kraft foods in October 2020 to coincide with National Noodle Day to promote its famous macaroni and cheese. Back in 1985, Coca-Cola released a sweeter new formula known as “New Coke” to win back younger customers that switched to Pepsi only to be mocked for sacrificing its own identity. Then in 2010, Gap decided to redesign its beloved and established logo. After what must have been countless hours in meetings and who knows how much money, Gap released its new WordArt inspired logo. It caused a massive backlash from loyal customers and is known as one of the largest rebranding blunders in history. 

 

Whether your company is a big national brand or a small to medium sized business, everyone is prone to having a mishap when executing a marketing campaign. 

 

Perplexed by a blunder

Architecture and engineering firms are no different. Have you heard of the same firm submitting on the same proposal? Or, someone from your firm meeting with the same client the week before and you had no clue? 

 

However, it seems like many of these marketing snafus were avoidable if more due diligence was practiced. Reflecting upon the aforementioned marketing blunders, here are some common areas marketing teams overlook when creating an effective marketing campaign.  

 

Not Really Knowing Your Clients 

 

Thinking you know what your clients like and want can quickly upend any marketing effort before it begins. Because believe it or not, your assumptions are likely wrong. However, you can gain insight into your clients by practicing some due diligence by asking about feedback on previous marketing efforts and having conversations with key decision makers about their experience with your firm. What you thought your firm excelled at might actually be one of its biggest downfalls and this is something you surely do not want to promote as it will lead to future failures.  

 

At A/E firms it’s common to make assumptions about what’s really important to a client for a particular project. Your marketing and business development teams may craft an entire message campaign, including the proposal and presentation, based on those assumptions. What happens if you made the wrong assumption? Getting that feedback directly from the client helps to minimize the risk of making assumptions. 

 

Unclear Messaging 

 

Convincing a consumer to make a purchase is already difficult enough. Adding confusion with misleading or hard to comprehend information is for certain a marketing campaign killer. When creating your core messaging, you need to identify what problem you are solving with your product and how this benefits the end user. Additionally, this needs to be tested and optimized to resonate with your audience in a clear and concise fashion.  

 

Common in our industry is messaging that includes industry jargon and overusing acronyms. To ensure a more effective message, make sure the content can be understood by even those with no technical background. 

 

Using Bad (or No) Data 

 

Today, great marketing efforts are formulated around data. There is so much data out there and your firm probably collects and stores endless amounts of information about your clients, contacts, and projects. However, if your data is poorly organized and maintained, it’s likely old and misleading. In other words, bad data is just as bad if not worse than having no data.  

 

Having a robust CRM system, like Deltek Vantagepoint, will allow you to organize your data, and be able to analyze and find trends you can use to strengthen your marketing efforts. A CRM system also allows you to track what potential projects your firm is pursuing and contact interactions. This helps avoid the embarrassment of multiple people from your firm bidding on the same project! 

 

Testing 123... 

 

Great marketing campaigns are the result of trial and error. Even the brightest of marketing minds will agree that not all great ideas are effective. However, there are things that can be learned by testing that can be incorporated into a strong and impactful marketing campaign. Furthermore, most marketers use a A/B testing which uses two forms of something to learn which is more effective. This testing allows marketers to ensure their messaging resonates with their audience and does not offend anyone. 

 

Failing to Follow RFP Instructions  

 

In the AEC industry, many proposals are crafted with a focus on team qualifications rather than fee. Strong proposals can take countless hours and may never be “perfect.” The hope is that your client will read your proposal and select your team for the work. However, what if it never makes it to the review team?  

 

When a request for proposals is advertised, there are often fine-print details regarding the deliverable, such as font size, spacing, and page limitations. Even one page too many could disqualify your team from the review process. Before you put countless hours into that large, or small, proposal, be sure you read, reread, and understand the submittal details before getting started.   

 

Learning from Past Experiences 

 

Doing the same thing over and over again is considered insanity to many people. Well, if anything, it will probably drive you insane to continue to see the same poor results repeatedly. During the execution of a marketing campaign, it’s important to keep track of what is and isn’t working, and noting lessons learned that can be applied to future marketing efforts.

Why Architectural and Engineering Firms Need To Properly Manage Their Documents

It is interesting to note that most document management systems are designed for the Architectural and Engineering (A&E) world where document management is quite the opposite of most other industries. Whereas typical industry documents are standardized and repeatable, with templates that rarely ever change, those required of the A&E environment are not. Here, every drawing is unique, and workflows require systems specifically designed to meet the needs of the A&E space. Here are some examples of the differences for standard businesses and project-based business.

Standard businesses

  • Documents are standardized and repeatable
  • Minimal revision control with unidirectional workflows
  • Basic transmittals
  • Simple file naming

Architectural & Engineering Firms

  • Every drawing is unique
  • Revision control is crucial due to edit-review-rework flows
  • Transmittals can include documents, drawings, xref images, specs and more
  • Complex naming schemes including: Project & Client Name, Discipline, Floor or Phase of Project, Sheet Category, Drawing # and more

Do You Have More than One Version of the Truth?

Employees can spend hours or days updating a drawing. If an obsolete version is used, then that work must be repeated, costing your firm time and money. Also, using the incorrect version of an engineering document can leave your firm vulnerable to increased corporate risk, failed audits, cost overruns that can extend into the millions of dollars, not to mention significant risks to safety, schedules, and reputation.

Furthermore, manual methods of version control are difficult and prone to error. In most companies, you can find multiple versions of files, one on the server, on a user’s hard drive, in email, and even a paper copy. Using a document management system creates a central point for document access which ensures users across the organization always can obtain the latest version. Document management systems also store previous versions and maintain the historical metadata for auditing the document history.

Are Transmittals Weighing You Down?

Gathering files, ensuring the correct version, attaching xrefs, specs, and any other necessary files are all very time consuming and tedious. Because it is a manual process, there is always a high risk for missing information. Once you include creating, sending, and tracking transmittals, this process becomes a very large, time-intensive process.

Are Your Naming Conventions Working?

Many companies try to impose naming standards, but without a way to enforce or automate these standards, all it takes is one person choosing to name a document in a way that makes sense to them, and an important file could be irretrievable. When more than one department or branch is involved, or new businesses are acquired, chaos can ensue!

An A&E focused document management system will auto-generate number sequences, include fixed width text place holders for user entered text, predefined data from drop down lists, user entered free texts, and delimiters. In addition, file names would not be the only way to search for files…using metadata either manually tagged to the document or found within it, would be a key part of your file storing and searchability.

Are your firms’ critical communications being housed in email boxes and scattered throughout your organization? What happens when someone is out of the office, or leaves the company? Do you or your staff spend hours trying to locate that critical communication?

Document Management with Deltek Project Information Management (PIM)

As a positive result, employees have increased their productivity as they are able to do more with their available time. On the other hand, with the various ways of receiving data now, an enormous amount has been and is currently being collected which has exponentially increased the time required to manage it. Putting an effective document management system in place has become crucial to ensure successful business operations. Employees must understand how and where to store important files and project information to keep business running smoothly.

Now with Deltek Project Information Management (PIM), formally known as Union Square, firms have a powerful tool for document management that integrates with Deltek Vision. Here are some core capabilities that support best practices for document management.

Proper User Access and Permissions

Deltek PIM provides firms the power to assign the proper permissions and restrictions to protect your firm’s data. Documents include everything from your finished products to confidential HR records. Without a comprehensive policy and system in place, everything can be at risk.

Deltek PIM offers a solution to document access restrictions in the form of defined user access and permission controls. Role-based security allows your IT department to create user groups with pre-set access rights. This ensures that entry-level HR employees are in a different access group than the HR manager and have no access to documentation in other departments unless permitted to do so. Create and Maintain a Consistent Naming Convention

Consistent naming conventions are critical, especially in the Architectural and Engineering Industry. If not followed, having standards in place is useless. Deltek PIM ensures consistent file names by preventing users from creating their own file names independently.

Although pre-defined terminology is a great feature, your company also has the option to customize the naming scheme to suit your conventions and even include date stamps that make chronological file searches possible.

Use the Central Template Library in Deltek PIM

The template library allows firms to maintain a set of company standard templates that are version managed, controlled and accessible by operational staff. This ensures consistent formatting of documents regardless of which staff member creates the document. A key thing to remember when creating a new document is everyone has to have access to those templates to ensure compliance with company standards. Additionally, templates in Deltek PIM automatically include the metadata for the document type and key information with limited access to changing this information.

Keep a Document Audit Trail

With all of the liability concerns, document auditing is a critical feature for all document management systems. The audit trail must be able to account for each version of the file, who created it, and who downloaded the document. In addition, Deltek PIM keeps all deleted documents in a separate location, ensuring no critical data is ever completely lost. Furthermore, based on the requirements of your state and/or areas of work, the audit trail will remain intact for the required term.

Use Proper Version control

Deltek PIM provides a project-wide document numbering system to prevent duplicate document numbers within the same project. It also provides a consistent revision coding system and sequential coding of revisions for the life of the documents. Even more, an automated tracking of who is responsible for each version and who has reviewed it allows for complete insight into the version history of documents.

Eliminate Duplicate Documents

Aside from taking up storage space, duplicate files make searching for what you need significantly more time consuming. Keith Pickavance in his work, Delay & Disruption in Construction Contracts notes “It’s not uncommon for a large project to produce millions of pages of documents, of which only 5,000 are critical.” A system that automatically finds and eliminates duplicate documents becomes more and more important as the project size increases.

With email communication, often there are many copies of the same email. Each copy could be filed by a different staff member into a different location. A system that locates and deletes those duplicates while tagging the primary email with proper metadata for searching can considerably decrease duplications and increase the ease of search-ability.

Keep Project Management and Document Management in Sync with Deltek PIM

The core benefit of Deltek PIM is the integration of the project opportunity and project management that creates a link with everything from document management to contacts. The central hub for creating an opportunity is in Deltek Vision, and being able link it to a specific project allows for everything related to the project to be stored and viewed in one location. By clicking on a contact, you can easily see the projects they’re associated with and what actions they have. New Year’s Resolutions for Deltek Vision Users

As the New Year starts, many people find it the perfect time to identify areas of opportunity to improve themselves. In addition to making resolutions for their personal lives, many people also focus on creating resolutions for the workplace. To support this process, our team of Deltek Vision experts at Full Sail Partners has put together a list of New Year’s Resolutions for Vision users.

  1. Make sure your firm is using the most current version of Deltek Vision. The latest version is 7.6 and is full of new enhancements. Learn more about Vision 7.6 in this article.
  2. Clean up duplicate records in your Vision database, specifically the Vendor and Client records, to prevent billing errors and other problems.
  3. Go paperless for Accounts Payable (AP) Invoice Approvals that require consultant/project manager sign-off.
  4. Setup a yearly reminder for the accounting department to run the 1099 Initialization process after all AP checks have been processed for the year and before any AP checks are processed in the next year. It can be run in either period since it is not period specific. This process transfers the “Paid This Year” amount to the “Paid Last Year” field on the Miscellaneous tab in the Vendor Table Maintenance and resets all vendor “Paid This Year” values to zero.
  5. Start using Revenue Generation in Vision to allow for recognizing project revenue as it is earned, matching revenue with expenses incurred to data. Without this, Vision recognizes revenue only as it is billed.
  6. Stop printing reports for directors and project managers. Instead, have them use the Vision Dashboard. Custom Dashparts can be created to give each user individualized information that is relevant to them.
  7. Remember to never un-post or create journal entries to control accounts. This is more about accounting best practices.
  8. Login to Vision more often than timesheet completion requires and manage your timesheet frequently to avoid over or under billing clients.
  9. Take the time to understand and implement standard functions in Vision such as Expense Report Approvals, using Benefits Accruals, and Account Groups for General Ledger Reporting to decrease workload.

As someone who travels a fair amount, the Deltek Vision and Concur integration has allowed me to get the most out of my business expenses. Before, I was overly focused on diligently taking a picture of every receipt and documenting every incurred cost. I’ll admit it, I am terrible at manually documenting receipts and deciphering between my credit card charges vs. cash expenses. Recently, I was fortunate enough to participate in a lively discussion among up-and-coming marketers regarding the merits of running email marketing campaigns for professional services firms. Although opinions differed greatly on the types of campaigns firms should deploy, one thing we could all agree on:  Email marketing is widely effective. For example, Chief Marketer reports that email marketing shows an impressive ROI of 28.5%.

So, I wanted to share with you some of my favorite email marketing campaigns. These are the types of campaigns any firm can utilize. These campaigns are merely a starting point to get your email marketing creative juices flowing! Next time I check my inbox, I hope to see one of these campaigns coming from your firm.

The Right Email Marketing Campaigns for You

  1. The Newsletter is alive! Believe it or not, the tried and true newsletter is alive and well. Transforming the newsletter from a print to digital format is a natural progression for most firms. In fact, the ability to customize and micro-target specific audiences allows marketers to ensure that they are focusing their messaging on their audience.

    When designing a newsletter, keep in mind:

    1. Subject lines are king. The battle for readership is won and lost in the inbox, don’t let a poorly thought out subject line land your newsletter in the trash.
    2. Create a central theme. Nothing increases your readership-bounce-rate like a disorganized, hard to follow, mailer. Create a central theme to your email blast and stick to it: Your click through rate will thank you!
    3. Make it clear on how to opt out. The number one sin when executing a digital newsletter campaign is trapping your audience in a slow painful death by email. Nothing deteriorates your brand faster than spamming disengaged customers. Give your readers a clear path to exit and your overall mailer will be better off. At the very worst you will know that your messaging needs refining based on an alarming rate of unsubscribes.
  2. Spotlight your latest project. Have you recently completed an impressive project that your clients would like to hear about? Perhaps you can highlight your top projects to a target list of prospects that you would like to do business with in the future. Bolster your brand by taking pride in your projects and demonstrating your expertise to the world. Bonus: Your current clients get additional exposure for their project, a win-win for everyone!

    When spotlighting your next project, keep in mind:

    1. Give your images alt tags! Email clients can be a tricky beast, and you never know what settings your recipient has enabled. You are trying to spotlight a project, and surely you want to show off your beautiful project photography, right?! Giving an image an alt tag will allow alternative text to appear if the image doesn’t load.
    2. Tell your reader a story. It’s not enough that you recently completed a new state of the art project. In order for your message to be memorable you need to focus on engaging your reader. Make your email standout by crafting a relatable story.
    3. Reduce load time, not quality. Optimizing high-quality images for digital viewing is essential. Compressing your images allows you to maintain quality while reducing long email load times.
  3. Planning to attend an event? Let ‘em know! Email is an excellent tool to inform prospects and clients that you will be attending an upcoming event. Invite your contacts to join you to ensure that you get the most out of the event. I always like to say that email blasts are a way for me to start networking at an event, before the event ever starts.

    Before promoting your next event, keep in mind:

    1. Why do they care? Do you really think that the fact that you are attending an event is really enough to entice a client to show? You need to let your audience members know why they can’t miss the event. Make it all about them and you just may be rubbing elbows with them sooner than later.
    2. Make your email actionable. It’s not enough that the client or prospect knows that you will be at the event, make sure to let them know how they can connect with you on-site.
    3. Responsive Design. Fast forward to the day of the event and there’s a good chance that your client will be using their smart phone to refer back to the email you sent them with meetup instructions. Make sure that your email is optimized for mobile viewing.
