What Will Happen to Deltek Vision with Spartan, Microsoft’s New Browser?

spartanYou may have already asked the question or may be wondering, what will happen to Deltek Vision with the new announcement of Spartan?  For those that don’t know, Microsoft announced that the Windows 10 operating system will debut an entirely new web browser, code-named Spartan. Many IT savvy clients have already been asking the question, what does this mean for Deltek Vision? Will Deltek Vision still work? The short answer is, “Yes.” 

Microsoft made the following statement, “Project Spartan is Microsoft’s next generation browser, built just for Windows 10. We will continue to make Internet Explorer available with Windows 10 for enterprises and other customers who require legacy browser support.” Additionally, Kyle Pflug, program manager for Spartan, wrote in a blog post, “Based on strong feedback from our Windows Insiders and customers, today we're announcing that on Windows 10, Project Spartan will host our new engine exclusively. Internet Explorer 11 will remain fundamentally unchanged from Windows 8.1, continuing to host the legacy engine exclusively." He added, “Enterprises that adopt Windows 10 will be able to set IE11 as the OS's default browser using group policy settings”. 

Internet Explorer is a staple performer and Microsoft will continue to support it for years. Microsoft has promised to support the browser with security updates for at least the next eight years or through January 2023. So rest assured that Internet Explorer will still exist and therefore Deltek Vision will still work. 

With that being said, Deltek has already been looking at ways for firms to connect to Vision without Internet Explorer to become more system agnostic. New features that can run on any web browser include, the new project manager portal (Navigator) and an upcoming CRM portal. Additionally, Deltek product developers are looking at ways to further minimalize reliance on Internet Explorer with future releases. 

For those firms that need to connect to Deltek Vision from a MAC or any tablet or phone today, there is Vision Unleashed. This solution allows your firm to access your Deltek Vision data anywhere with almost any device. Additionally, a 30-day FREE provisional test period is available. 

Bottom line: 

  1. Firms already have options already available to you to access your Deltek Vision data without Internet Explorer
  2. Internet Explorer isn’t going away any time soon
  3. Deltek is committed to the Vision product

Open Architecture - Why It's Good for Professional Services Firms.

open architectureAmong many things, today’s professional service firm managers are constantly striving for the most effective and efficient way to operate their business. They are inundated with data and, while reviewing latest financial results, finding the right business indicators for planning, understanding modern marketing trends and, of course, keep up with technology – simply managing the business can fall through the cracks. If your business is thriving, then it is evolving, and you need technology that can keep up with it and keep your business moving ahead. Enter open architecture (OA).

What is Open Architecture?

Open Architecture is when a systems specifications are accessible and allows further system development. Additionally, systems that allow an application programming interface (API), new system features can be developed and integrated with other software.

How Can I Benefit?

  • Flexibility – Your business is unique. Although you may perform similar functions as other professional services firms, how you conduct business is uniquely – you. The reality is there is not one system “out of the box” that completely provides everything for your very individual business needs. Finding a system that gets you most of a specific functionality is one thing. Finding a system with an open architecture allows you to meet the specific functionality and meet the special needs of YOUR business is quite another. A system with open architecture will allow you to customize the design (both in processes and fields for data collection) to meet your specific needs
  • Efficiency – Time is precious (not to mention expensive). Open architecture systems allow you to reduce duplicate entry and incomplete processes – reducing errors and omissions. You can also build in validation requirements to ensure YOUR business process is followed.
  • Connectivity – Access is important. You need your data regardless of which system you’re looking at or when you need it. An open architecture system will share your data with other systems and allow you seamless access to it. For example, when you are awarded a project that meets certain requirements that project information can be automatically uploaded to your website – keeping your site relevant to YOUR business.

Now that we know what open architecture is, let’s talk specifically about how an OA will help your professional services firm. An ERP like Deltek Vision allows even those with limited IT knowledge to customize and build business intelligence processes through the use of workflows

Let’s say during your sales cycle when you change the stage to “Awarded” you typically have a series of other fields and processes you have to go through. A workflow can trigger those processes:

  • Change Status to Sold
  • Change Probability to 100%
  • Change the Date Closed to Today’s Date
  • E-mail Accounting to open a project (or even allow the system open up a project)
  • E-mail Marketing to advise a new project was won

Duplicated or unnecessary efforts equates to lost time. Alternatively business processes that are not followed can spin cycles down the road (that is why the process is there in the first place – right?).     Deltek Vision and Adobe InDesign: Stop Focusing on the Boilerplate

    I think by now we can all agree: The ability to automate proposals with InDesign and Deltek Vision is the greatest thing to happen to proposal creation since the copy and paste function! In this blog we are going to dive deeper in to the realm of automating information out of Vision in to InDesign and take a look at the two coolest ‘outside of the box’ features currently available.     It is important to continue looking at ways to increase efficiency throughout the entire procurement process. From proposals to the short-list interview, integrating Deltek Vision and Adobe InDesign can give your firm the competitive advantage needed to wow the client. Answer in days, not weeks.     Deltek Vision Year-End Reminders and Resources

    As we come into the holiday season many of us in accounting face the coming season, not only with the joy of family and friends coming together, but with a sense of impending dread – YEAR-END and TAX SEASON are looming – ugh - have another drink.

    W-2s - 1099s - journal entries - checking and double checking each number!  Auditors - shareholder meetings - endless explanations’ of what the results mean (even though you have been saying for the past 6 months) - Oh the joy of the season!

    As we go through the year-end process there are mistakes we (and others) make that are easy to recover from like entering the 15 page depreciation journal entry “backwards” at midnight sitting in your semi dark office chugging your 15th pot of coffee.  Some are more difficult – like removing all the lower levels of your work break-down structure (did that once – glad our backups worked). So outside of deleting the database, what are some of the items in Vision year end processing that are hard to recover from?

    The following client operating systems will be supported for Vision 7.3:

    • Windows 8 or 8.1
    • Windows 7
    • Windows Vista

    Additionally, to use this new version you must ensure that .NET Framework 4.5 or 4.5.1 is installed. For more information on the .NET Framework and to determine how best to deploy the 4.5 or 4.5.1 release within your organization, please refer to the Microsoft web site at http://www.microsoft.com/net.

As always, operating on the newest version of Vision gives your firm the ability to manage better, achieve more, and improve your ability to better track your projects and efforts.     Vision 7.3 Product Enhancement Synopsis

    • Manage company paid credit cards | 7.3’s new credit card functionality streamlines cost accounting. Features include the ability to setup credit cards, import credit card charges, and reconcile credit cards.
    • Expanded internationalization and localization features | New globalization functionality included in 7.3 gives your firm the tools needed to expand into new markets, and win more work!

    Payroll Software: Pain in the A$$ or Necessary Evil

    PAYROLL SOFTWAREPayroll, the reason we drag ourselves out of bed and into the office.  Payday!!  Everyone’s favorite day – it is especially nice when it is on a Friday.  As happy as payday makes us, if you are the one stuck processing your payroll software can be a total PITA.

    Utilize In-House Payroll Software vs. Out Sourced Payroll

    So why process payroll in-house?  Why not just hire a service?  In many cases a service is exactly what you would use.  However, payroll services have their own set of challenges:

    • Rigid deadlines that may cause you to process payroll days before your pay date (in some cases before the pay period ends)
    • Inability to add non-payroll items (like expense reimbursement) to the payroll
    • Can be a bit more “pricey”

    When looking at a way to process payroll in-house, a system that integrates with your existing ERP system, such as Deltek’s Vision, is priceless.  You can have a one stop shop for employee set up, employees can enter their time and it is automatically available in payroll when posted.   Since everyone is already used to the system, the basic information is already there.

    Some of the other benefits of having payroll in-house and integrated with your ERP are:

    • Employees will have access to see their vacation and sick time remaining
    • Access to see and print copies of their paychecks (Meaning you don’t have to provide their last 5 paychecks)
    • Accounting can control deadlines
    • Can sometimes be less expensive

    What to Look for in Payroll Software

    If you determine that in-house is the way to go, it’s important to make sure your payroll software is flexible and provides the features that matter.  So what type of flexibility should you look for in your payroll software? A couple features include the ability to add codes when you need it or to track your company contribution to the employee benefits.

    An example of an additional code is the ability to add an after tax code to reimburse your employees for expenses.  This allows you to provide your employees one check for payroll and expenses.

    An example of a contribution code would be if you offer a 401K plan, the company match is your company contribution.  If you offer health care, the portion covered by the company is the company contribution.  Tracking this information on each payroll can simplify your accounting process (getting the costs into the right “bucket”) but can also allow you to easily create a total compensation report at the end of the year showing the employee the total value of their compensation package including benefits (not every service offers this either).

    Either way you go, an in-house payroll software or outside payroll service, look for the process that will provide you the most flexibility and integration with your current ERP to make your life easier!

    Vision InDesignFor years marketing professionals have been clamoring for a way to directly merge information from their Deltek Vision system to an InDesign template. For firms with Deltek Vision version 7.1 and higher, the wait is over! Creating InDesign Templates and merging information directly from Deltek Vision is simple, and is very similar to merging from Word, with some usability enhancement.  

    Before we begin, you might be asking yourself, ‘What kind of functionality will InDesign merging include?’ To answer your question, we have highlighted some of the major areas below:

    • Add fields and grids (including user defined!) to an InDesign template
    • Format number, currency (projects only), and date fields in a template
    • Merge data directly from an info center record into InDesign
    • New ‘Select Projects’ function for Employee Resumes allows for more precise formatting of project examples on resumes within InDesign

    So as you can see by the functionality, the ability to merge data directly from your Deltek Vision system to Adobe InDesign is going to allow your firm to easily deliver accurate, more consistent proposals through the industry standard desktop publishing software.

    What exactly will we be able to merge?

    If your information is in Vision, you can now export it out allowing your firm to merge the following documents from Deltek Vision to Adobe InDesign:

    • Resumes
    • Cover letters
    • Project cut sheets
    • References
    • and much more from your Vision system 

    Merge functionality includes the ability to pull information from tables, grids, custom Info Centers, and user defined fields.

    What technical requirements are required?

    In order to run a Deltek Vision merge to Adobe InDesign, you will need to be running a copy of Adobe InDesign CS5.5 or newer, installed on your local user directory. You will also need to be running a copy of Deltek Vision 7.1 or newer, with TDM enabled.

    So what are the steps?

    Setting up Deltek Vision to Adobe InDesign merge capabilities is surprisingly easy! The process requires five major steps, highlighted below.

    1. Access the ‘Merge Templates’ section in Deltek Vision (Configuration>General>Merge Templates), this step may require you requesting additional privileges from your Vision administrator
    2. Select the Info Center you would like this template to be associated to
    3. Create or upload a new template. If creating a new template, please be aware that you will need to insert merge codes from the Vision Merge Code window
    4. Open the ‘Custom Proposals’ Info Center, select the proposal you want to merge information out of, and link the new template to the merge function
    5. Merge your information out of Vision!

    Conference Planning 101: Leveraging Marketing Campaigns in CRM

    Conference PlanningEvery year in your conference planning meetings you agree to come away from the upcoming conference with concise, actionable intelligence. Instead, every year you come away with nothing but a big stack of business cards, and maybe some new LinkedIn connections. In this blog we are going to review how setting up a CRM marketing campaign can help you come away from your event with clearly defined goals and actions.

    You can’t track a marketing campaign unless you create it. You can’t start tracking your marketing efforts until you start. Often we overlook tracking information from conferences and tradeshows because of how much time these events are already taking out of our hectic schedules. If you have already made the decision to attend, you need to get both feet wet. There is no way to justify not taking the time out of your day to create a detailed marketing campaign in your CRM.

    Include as much detail as possible in this marketing campaign. Event location, registration dates, everything! This marketing campaign will become your holy grail for all things related to this conference. By doing so you create a centralized location where your entire firm knows to look for information related to this event – and heck, you probably save a few trees in the process.

    Use your CRM system as a grocery list! We all know how hectic things can become before leaving for a conference or tradeshow. Nothing is worse than spending the night before the conference starts in a Kinkos trying to produce some brochures because you forgot to prepare them beforehand. Track important items through your CRM system and start your conference off right by showing up with everything you need!

    The beauty of tracking your marketing tasks via your CRM software is that you can use a mobile solution such as Vision Unleashed to access your database, and update tasks as you go.

    Track who you know will be there, and who you met! The whole point of going to these things is to make contacts, right? What good does a pocket full of business cards do if you fail to create actionable intelligence from the contact? Provide your entire company with visibility in to these contacts and track this information in your CRM.

    Before the event, track those clients that you have verified will be in attendance. The name of the game is conference planning, right? So don’t be afraid to do a little planning! Be aggressive and proactive schedule some quick meet-ups with your clients. Grab a cup of coffee or invite them to lunch. By tracking this activity in CRM solution you are able to ensure that you are reaching out to as many clients as possible.

    After the event, make sure to get all of your new contacts uploaded in to your system. Hopefully you talked you went beyond the typical conference small talk and discussed business opportunities with these soon to be clients. Track whatever actionable intelligence you have in the system. Add these new contacts to the appropriate mailing lists and groups so that they start receiving your targeted marketing materials.
