Deltek Releases New Support Center

Deltek rolled out its new customer support center on Monday, October 9th, 2017. The support center has been improved allowing users to learn, connect and more effectively manage their experiences. Entering the Deltek Support Center after October 9th, you now see a message that looks like this:

New Login Feature

There is a new login feature when using the enhanced support center. You will still navigate to the same URL that you previously used. Prior to the new help center, you would have seen a login button and an account assistance button. However, you will notice that, where the account assistance button used to be, it now says “Need Help?”

When you click on “Need Help?,” you now have the option to chat with someone. This feature offers the real-time ability to speak with a Deltek professional who can assist you. To access the chat, you will need to enter your email address and then click “Start a Chat.”

To get back to the login page from this page, you will need to click the silhouette Silhouette.png in the top right corner. This will enable you to log into the support center.

Stay Up to Date with Notifications

After logging in, you will receive the critical info pop-up announcing the new site. When you close this pop-up, or if you are logging in after the alert has been removed, you will immediately be presented with a list of notifications.

Key highlights of the notifications popup include:

  • The notifications are equivalent to the old alerts and announcements section
  • You can hide the notifications popup if you do not wish for it to popup every time you open the support center
  • Global notifications are color coded: high (red), med (yellow) and low (green)
  • You will only see alerts for the products that you own
  • You can click on the number in the orange square at the top of the screen which indicates how many notifications there are if you choose to hide the notifications

Manage Your Deltek Support Center Account

In the upper right, you will see the gear icon. This icon allows you to open the “My Account” section. This is where you update your profile settings, and you can also see the current support plan you have.

The account management section allows you to change the following:

  • Password
  • Preferred language
  • If you want or do not want to see notifications

Get Support for Your Deltek Products

The search bar offers you the ability to look for forums, posts and knowledge based articles using specific words or phrases. Everyone will see the learn and connect information boxes, and if you are an administrator, there will be an additional box that will be available. Below the information boxes are “Trending Topics,” which show the top ten articles for the products that you own for the last thirty days. You will only see the topics in this list that relate to the products that you own.

Depending on the level of support you have, you will possibly see up to six icons. The icons you view are driven by permissions. If you can’t find the answer, submit a case. Deltek will then research your inquiry. Availability, however, depends on the type of service plan you have purchased. Here are the options you will see depending on your license agreements:

  • Cloud Solutions- You will see this is if you own a Saas product. When clicking this icon, you will be able to choose the cloud solution you are needing help with. This will open a wide range of help topics specific to your needs.
  • Initiate a Chat- This icon allows you to enter a chat with Deltek staff. Be sure to check the bottom of the chat page for specific hours of availability.
  • Product Downloads- The Deltek Software Manager (DSM) is your central place to download all the Deltek products you own, including all service packs and hot fixes.
  • Manage Cases- Here you can check the status, view details, and update your support cases. Previously called, “My Support Cases.”
  • Purchase On-Demand - Deltek's “On-Demand Support” is available for situations that require brief, one-time access to our support experts for situations that are not covered by your annual maintenance fee.

If you have less than three icons available, they will not show. You can still access the available options by going to the upper left-hand corner of the screen and utilizing the menu to navigate to your desired destination.

Think Outside the Box with Deltek Vision’s Approval Engine

Think Outside the BoxAt a recent client meeting, it was brought to light how many of my clients don’t use Deltek Vision’s approval engine capabilities. I thought how crazy that notion was because using the approval engine can save clients so much paper and time. Let me share with you what this firm experienced in dealing with approvals, and let’s see how many of you can think outside the box and see the benefits of Deltek Vision’s approval engine.

Packed with Paper 

Here’s where the story begins. A little time back, I was with a client when a principal walked in with a banker’s box full of papers. He was preparing to leave for vacation and had carefully assembled all the paperwork he needed to take care of while he was away. I asked what was in the box, and he explained that he had to approve the consultant invoices and then review the client invoices. He had packed all the project folders and everything was ready so he could speed through them on vacation and bring them back to accounting when he returned. 

In my mind, I was screaming for several reasons. First, who wants to work on your vacation? Next, so many things could happen to those papers like losing some on the plane or spilling wine when reviewing them. Not to mention, accounting is put on hold until he returns, the consultant’s invoices can’t get entered until billing is processed and how will he really know when he is done. By the way, how does he even keep track of action items using his box and paper system? 

Let’s Think Out of the Box 

Not wanting to overwhelm this principal just hours before he was set to go, I calmed the voices in my head and simply said, “You know, one day I am going to take your box away from you and you won’t miss it.” With a perplexed look, he asked me how. I explained that we could process the consultant invoices electronically. Accounting could scan the invoices, and after being scanned into the system, various parties would then do their part to approve or reject the invoice in Deltek Vision based on the business rules. 

The entire process could be done in the Deltek Vision system, and the status and notes would be visible to everyone along the way. As soon as there was final approval, accounting could continue processing the invoice and post it in Vision. The copy would be attached to the next Invoice and no box would be required. 

Coming into the Light 

Despite my description of the approval engine process, the principal remained unconvinced. He instantly presented a list of objections which I confidently addressed one by one: 

“I need to see project details as I am reviewing.” “No problem, use the project review tool in the approval application.” 

“Sometimes I want the project manager to look at it before I approve it.” “The system is designed so you can delegate or reassign approvals.” 

“There are also times that I need accounting to send the invoice back to the consultant.” “That’s why when you reject it, you must notate why in the dialog box. The system sends the message to accounting for you.” 

“We must have paper copies for taxes and legal things.” “Maybe, but IRS has been accepting electronic copies since 1995.” 

After my most excellent retorts to his arguments, the principal finally realized that using Deltek Vision’s approval engine capabilities was a viable option. I further explained that with his current Vision system, he can use electronic approvals to handle vacation requests, departmental budgets, expense reports and more. Before, he just hadn’t seen the value of thinking outside of his box. Now his box could instead be used for vacation souvenirs.

This is a true story, but not at all unique. In the past, there was not a fully integrated system. Many firms had given up on going paperless, and the final handshake always required touching that piece of paper one last time. However, with Deltek Vision’s approval engine, firms can now truly eliminate the need to physically transport documents in their boxes. Rather, thinking outside of their boxes, they can reduce processing times and provide unprecedented visibility into status and condition of their invoices.

KPIs vs Benchmarks How does your company measure up to the competition? Are you performing above the industry standards or below? Are you achieving the objectives necessary to continue to grow and operate successfully? In order to answer these questions, management must have a way to track performance. Evaluating the progress of individuals, projects, and specific departments is important, but management also needs an in depth look at the company as a whole.

The two most popular methods for measuring performance are Key Performance Indicators (KPIs) and Benchmarks. Both KPIs and Benchmarking are used to motivate employees by giving them measurable targets to meet. By meeting these targets, the employees help to increase the overall performance of the company. So, if they are both used to measure performance, what’s the distinction?

Key Performance Indicators

Key Performance Indicators are measures of how well a company, individual, business unit, or project is performing compared to specific strategic objectives or goals set by the company. KPIs that are well constructed provide direction leading to a clear understanding and awareness of current performance. KPIs often differ from company to company or department to department within a company based on the goals of the specific company or particular department.

A company’s desire to measure the indicators often dictates the KPIs put into practice. When developing a KPI, how that KPI relates to a specific business objective needs to be considered. Here are a few examples of KPIs that you may use for your business:

  • Staff Retention
  • New Customer Acquisition
  • Timeliness of Projects
  • Financial Growth

Planning is key when dealing with KPIs for measurement. It is important that they are significant, understandable and current. Using customized KPIs will provide great insight into your business.

Benchmark Indicators

Benchmarking compares other organizations in your industry to your own organization. Benchmarks are often measured by studying the results of other company operations that have best practices put in place to achieve exceptional results. The goal of benchmarking is to improve your processes to strengthen company performance, enhance customer satisfaction and increase revenue.

Performance benchmarking and strategic benchmarking are commonly used by firms. Performance benchmarking generally compares products and services with target companies in your industry allowing your firm to measure your economic position. Whereas strategic benchmarking involves observing and evaluating how other companies compete (which may include those outside of industry).

There is a significant amount of benchmarking data already gathered and available for companies to allow them to measure themselves against industry peers. The Deltek AE Clarity report, for example, is done annually. Sometimes there is a fee associated with acquiring benchmarking data, but it is easily recouped by the savings of resources and time in not having to do your own research.

Both of these methods allow management to identify areas where the company excels as well as areas that need improvement. However, to benefit from using KPIs and Benchmarks, a company needs to be willing to set objectives, make changes and follow through. 38th Annual Deltek AE Clarity ReportThe long-awaited 38th annual Deltek A/E Clarity report is now available! For those of you who are unaware, each year Deltek performs a detailed Architecture & Engineering Industry study. It is the lengthiest and most thorough study in the industry. Using the A/E Clarity report results, Deltek is able to offer firms unique insights into the AEC industry.

More than 550 firms across the United States and Canada participated in this year’s study. About 25% of participants were from architecture firms, nearly 60% from engineering firms, and the final 15% represented all others. The size of participating firms ranged from small firms with 0-50 employees to large firms with 251 employees or more.

Key Findings in the 38th Annual Deltek A/E Clarity Report 

The Deltek A/E Clarity report is full of data that allows you to compare your company’s statistics to others in the industry. Information included in the report is comprised of data collected from 2016. Here is a quick preview of some of the statistics you might find interesting:

Know a Project’s True Profit with Deltek Vision Overhead Allocation Utility

Overhead Allocation One of the main responsibilities of a project manager is managing the profitability of his projects. It is easy to look at hours charged to a project at billing rates minus the value of those hours at cost to see the gross profit of a project, but gross profit doesn’t give a true picture of profitability. Most firms prefer to look at net profit to measure the financial success of projects with net profit being hours at billing rates minus cost plus overhead.

Luckily, Deltek Vision has a utility to accomplish just that – calculating net profitability on projects.

Overhead at a Glance

What is overhead? Overhead is an accounting term that refers to ongoing general business expenses, not including direct labor or expenses that are reimbursed to firms by clients. For example, business expenses like rent, health insurance and indirect labor are types of overhead expenses.

Overhead allocation must be configured in Vision and the utility must be run on a timely basis – usually at month end. Overhead allocation can give a true understanding of a project’s profitability.

Preparing Deltek Vision for Overhead Allocation

There are several decisions that need to be made during the configuration phase of setting up overhead allocation in Deltek Vision depending on the current configuration. First, the allocation scope needs to be determined. If the firm uses profit centers, additional configuration decisions will have to be considered. For example, if the firm has a “corporate” profit center, overhead may need to be distributed from the corporate profit center to the revenue producing profit centers.

Next, Vision offers two choices for the basis of applying overhead to projects - direct labor or the proration method. The direct labor method applies a multiplier that is used to determine every dollar of direct labor spent on a project. Vision uses the total overhead expense divided by total direct labor to determine the multiplier used when overhead allocation is run.

The multiplier method remains consistent if the same multiplier is in effect. Firms generally prefer the multiplier method because of its consistency. Additionally, project managers always know how much overhead is being applied to their projects. On the other hand, the proration method uses the firm’s actual, year-to-date indirect expenses. Since this method is based on actual indirect expenses, it will change month to month.

The Benefit of Using Overhead Allocation in Deltek Vision

Once overhead allocation has been run, there are several reports, including the project progress, office earnings and project summary, that when run at cost, will display overhead. Running the overhead allocation process will return a report detailing the amount of overhead applied to projects and the actual overhead rate of the firm. Not only does overhead allocation provide a clear understanding of the profitability of the firm’s projects, it also gives an indication of the firm’s overhead costs and the tools needed to increase profits.

VC4CFT There is no shortage of ways for professional services firms to solicit and capture client feedback. Some firms structure their initiative as a once-a-year check-in with repeat clients while others hire outside consultants to conduct third-party client satisfaction interviews. In a previous posting, we reviewed why you might want to start a feedback program. Now let’s discuss specific tools that will help with starting one.

The feedback approach we like to use at Full Sail Partners includes:

  • Several “milestone events” throughout the course of complex projects

By identifying this schedule of feedback events in advance, our clients know what to expect of the process and can effectively participate. We manage our program with The Client Feedback Tool from Client Savvy (CFT).

Surely our Existing Data is Worth Something 

When we first started our program, we strategically knew that:

  • We would need to scale the volume of feedback without a proportional increase in the program’s administration time
  • In Deltek Vision, we already had a system housing key data needed for the program – contact and company names, email addresses, project records, and various other meta data
  • Both Deltek Vision and Client Feedback Tool were designed with available API interfaces

This solution allows us to leverage the existing information in our database, improve consistency across the two platforms and decrease the amount of time needed to manage our routine client feedback program. 

How Does it Work? 

If you’re familiar with how Vision functions, you already know that all operational activity in the system is oriented around projects. Whether you’re completing a schematic design or purchasing paperclips, your work will eventually hit a project in Vision. Managing feedback is setup the same way and all information needed for the process of requesting client feedback is gathered in a project record. While this is typically a “Regular” project, if we’re seeking general feedback from a cross-section of our client base, we just gather those contacts together in an appropriate general project in Vision, either by creating it for that purpose or using one that already exists. 

VC4CFT allows our project managers to send feedback requests in one of two ways:

  1. Anytime desired directly from the Project record in Vision
  2. As part of the batching function that seeks out eligible projects based on pre-determined rules

For example, during our implementation projects, we first like asking for feedback after we’re about 30% complete. The Connector’s workflows know to look for projects that have recently crossed that milestone based on financial records. Usually about once per month, we have the Connector lookup all the projects that apply under all the rules we’ve put in place. With quick input from the project managers, we’re able to assemble a list of surveys that can all go out at once, driven from a single point of administration.

As our clients provide feedback (and we thank you for it!), general information about the feedback history is returned to Vision through the Blackbox Connector. Whether looking at aggregate response rates or figuring out why that one person always opens our requests but doesn’t complete the survey (you know who you are), the most important objective is to enhance the client experience. The combination of Deltek Vision, the Client Feedback Tool and the Blackbox Connector allows us to further leverage our core client information, turn feedback strategies into scalable routine processes, and most importantly, improve the experiences our clients have while working with us.
